Attendance & Digital Check-In

What & Why

Streamline the athlete check-in process for academy events with a digital check-in system. Currently, coaches manually mark attendance from a roster list. This feature adds QR-code-based self-check-in for athletes/parents, a real-time attendance dashboard for coaches, and automatic parent notifications when their child checks in. The existing and tables provide the foundation — this builds on them with a smoother, faster workflow.

Done looks like

• Each event date generates a unique, time-limited QR code that coaches can display on a screen or print
• Athletes or parents scan the QR code from their phone (no app install needed — works via the academy website) to check in
• The check-in screen confirms the athlete's name, event, and timestamp with a visual confirmation
• Coaches see a real-time attendance dashboard during events: who's checked in, who's missing, and a count summary — auto-refreshing without page reload
• Parents receive a push notification and/or in-app notification when their child checks in ("Alex checked in to Tuesday Training at 5:02 PM")
• The coach can still manually mark attendance from the dashboard (fallback for athletes without phones)
• Check-in is only valid within a configurable time window around the event start (e.g., 30 minutes before to 15 minutes after)
• All check-in data flows into the existing attendance tables so historical reports remain consistent
• SuperAdmins can enable/disable QR check-in per event from event settings

Out of scope

• NFC or Bluetooth-based check-in
• Check-out tracking (arrival only)
• Geolocation verification
• Printed attendance sheets or PDF exports
